Hamilton County Court Docket Searches
Start with Kansas CaseSearch, the main public search for a Hamilton County District Court docket. Pick District first. Then choose a form: Case Number, Party Name, Business Name, Party As Business Name, or Citation Number. Set the county to Hamilton County. Further filters narrow the docket results by Criminal, Civil, Family, or Probate or Mental Health, plus date of birth and filing dates. A quick human check guards the anonymous search.
Use a complete case number when you can. Party-name entries go Last Name, First Name. The official wildcard tips widen a stubborn name search when spellings vary. What you get back is basic public case detail, and the portal cannot promise every document, protected event, old file, or city municipal case.
- Accept the public-access notice and choose District.
- Select the search type that fits the known number, party, business, or citation.
- Choose Hamilton County and add a case type or filing-date range when useful.
- Compare the court, filing date, type, and status before opening the result.
- Read the events index in date order and look for a later reset or disposition.
- Use the courthouse terminal or clerk when a public event or document is missing.
The official CaseSearch entry is shown below.

The current state entry replaces the former Public Access Portal.
Hamilton County CaseSearch Controls
The live app splits two choices apart. District and Appellate are not interchangeable. A Hamilton County court docket from the trial court belongs under District, while an appeal gets its own appellate case and separate search path. Some forms add county and case-type filters; others do not.
The official live CaseSearch application opens with a terms overlay and the principal search controls.

Required: Court and Search Type; optional: Hamilton County filters.
| Control | Hamilton docket use | Key point |
|---|---|---|
| Court | District for local trial cases | Appellate uses a separate form |
| Search Type | Number, party, business, or citation | Choose before entering the term |
| County | Hamilton County | Narrows statewide matches |
| Case Type | Criminal, Civil, Family, Probate or Mental Health | Sensitive cases may still be absent |
| File Date | From and To | Useful for common names |
Court Dockets: What They Show
Kansas Supreme Court Rule 21 defines the events index. Courts also call it a register of actions, meaning a chronological administrative index of filings, actions, and events. A Hamilton County court docket maps the case. It is not the whole case file. From it you can learn where the case was filed, who the public parties and counsel are, which events were indexed, and whether a public disposition appears.
| Case number | The official identifier, court, county, and case-number era. |
|---|---|
| Case header | Hamilton County court, case type, filing date, status, and sometimes judge. |
| Parties and counsel | Public roles and attorney identifiers where access allows. |
| Events and filings | Complaints, charges, service, motions, pleas, orders, or other indexed acts. |
| Settings | Hearing dates, continuances, and short setting descriptions when published. |
| Disposition | Judgment, dismissal, plea, sentence, or other closing event when public. |
| Documents | Links or references when online access is permitted; availability varies. |
A filing is only a request. The docket never turns a scheduled trial into a verdict, and a document name is not a certified copy. A public status line may not show every count or term.
Hamilton County HM Number Era
The 25th Judicial District joined Kansas eCourt on September 12, 2022. That cutover split Hamilton County docket numbering two ways. A case started after the change can carry the HM county prefix, as in HM-2024-CR-000123. That string is a sample format only. It is not a real case. Pre-cutover filings keep the older year, case type, and six-digit sequence, with no HM anywhere.
The official CaseSearch tips page explains full district numbers. It also covers county prefixes, name formats, wildcards, and appellate-number rules.

Those tips explain a common dead end. Adding HM to an old Hamilton County docket number can break an exact-match search.
- Events index
- The official chronological administrative index of case events.
- Register of actions
- Another Kansas term for the same events index.
- Setting
- A scheduled court event, not an outcome.
- Continuance
- A move to a later date that can leave the old date in the history.
- Certified copy
- A clerk-certified reproduction, not a free portal printout.
Hamilton County Courts and Their Dockets
Hamilton County District Court is the general Kansas trial court. It handles felonies, district misdemeanors, civil and limited actions. Domestic relations, probate or mental-health cases, district traffic, and other state matters sit there too. Its magistrate judge works inside that District Court. There is no separate county lower court. The Hamilton County District Court Clerk keeps the district events index and the case files.
Syracuse Municipal Court is a different animal. The city venue hears ordinance and municipal traffic matters plus listed concurrent state-law matters. Coolidge is incorporated, but it posts no current official local court page. Check any Coolidge city matter with the city or the issuing authority. An appeal can open a separate Kansas Court of Appeals docket. The Hamilton trial history stays in the district record.
| Court | Docket covers | Where to search |
|---|---|---|
| Hamilton County District Court | State criminal, civil, family, probate, district traffic | CaseSearch, courthouse terminal, District Court Clerk |
| Syracuse Municipal Court | City ordinance and municipal traffic | Syracuse city court and city records route |
| Coolidge municipal route | City matters if a municipal court operates | Verify with the city; no current portal found |
| Kansas Court of Appeals | Separate appeal from the trial case | CaseSearch appellate form or appellate service |
| Federal court | Federal cases, not county or city matters | PACER and the U.S. District Court for Kansas |
Hamilton County Six-County District
Hamilton shares the 25th Judicial District with Finney, Greeley, Kearny, Scott, and Wichita counties. That shared structure is why one calendar, directory, probation office, and set of local rules can span several counties. Each county clerk still keeps its own district cases. So pick Hamilton County itself. The district label alone is not enough.
The official 25th Judicial District directory offers district and county court filters plus phone listings.

The directory can point a caller the right way. Still, the Hamilton County District Court Clerk remains the office that actually holds Hamilton district dockets.
This split guards against two common errors. Court Services in Garden City runs district probation, but it does not hold the full Hamilton docket. The Hamilton County Clerk/Election Officer keeps county-government records and takes county KORA requests. That office never replaces the judicial District Court Clerk.
Court Dates and Settings in Hamilton County
For a known case, the newest public event in CaseSearch is your best date source. Read the paper first. The summons, citation, jury notice, or last order often answers the question outright. Then open the event history. Look for the newest hearing, reset, continuance, or order. Old dates can linger in view, since the Hamilton County court docket preserves its chronology.
The official 25th Judicial District calendar adds a Hamilton County District Court selector, Start Date and End Date fields, search terms, a past-event control, and List, Week, or Month views.

Treat the calendar as a public event layer. It is not a verified daily case docket, so a missing item never proves a hearing was canceled. Check any calendar event against the case chronology. If a date touches an appearance, plea, warrant, or trial, call the clerk at 620-272-3649.
Syracuse runs its municipal schedule on the third Monday. Two official city pages disagree on the hour, listing 4:00 or 4:30 p.m., so confirm the time at 620-384-7818.
Hamilton County Jury Date Route
Jury duty runs on its own channel, apart from the general Hamilton County court docket. Summoned jurors report to the second floor of the Hamilton County Courthouse. The district's jury-status instructions, not the public calendar, control whether you must show up. Call 620-271-6120 and follow the menu prompts. The instructions ask jurors to check after 5:00 p.m. the evening before. The official Hamilton jury-duty page spells out the reporting location. It covers the status route too. Identification and security directions appear there as well.

That status line is for summoned jurors only. Ordinary case-setting questions go to CaseSearch or the Hamilton clerk. Jurors should bring photo identification. Cell phones, chemical sprays, firearms, and other weapons stay in the car. Those jury instructions apply to jurors only. Do not stretch them into rules for every visitor or every courtroom.
Docket Access Under Kansas Law
Several authorities work together to shape public access to a Hamilton County court docket. Rule 22 sets both internet and courthouse-terminal access levels. It also names case and document categories that stay off the public internet. Kansas statutes cover the rest: public-record exceptions, sealing and redaction, criminal expungement, and juvenile confidentiality.
Key Kansas access rules
Kansas Supreme Court Rule 22 controls public electronic case-record access and courthouse terminals.
K.S.A. 45-221 recognizes statutory, rule-based, privacy, medical, privileged, and investigative exceptions.
K.S.A. 60-2617 governs sealing, redaction, closure, notice, and good cause.
K.S.A. 22-2410 limits disclosure of expunged criminal records.
K.S.A. 38-2312 protects juvenile records and files.
A docket search that returns nothing can mean many things. The case may be protected, sealed, or excluded from the internet only. It could also be an old file, a municipal case, or a search-format error. A blank result never proves that no proceeding exists.
Hamilton County Terminal Access
The courthouse public computer is not a spare copy of the same web page. Rule 22 treats the terminal as its own public-access level. Kansas guidance says some information unavailable online may be viewable at a courthouse terminal. Hamilton keeps its public-access computers in a room near the clerk's office. Visitors must sign in. The official Hamilton policy and procedures shows the Public Access room, counter practices, copy fees, and request timing.

For an older file, a missing image, a certified copy, or an unclear access limit, the clerk's counter is the right next stop. Public access does not open staff work areas. Ask for the terminal or an inspection route. Staff decide what can be shown under court rules. If the portal is down, the Kansas court service-status page helps tell a system outage from a case-specific issue.
How the Clerk Keeps Docket Records
District Court Clerk Griselda Sigala keeps the Hamilton County events index and the case-file route. The current official contact is 219 N Main, P.O. Box 745, Syracuse, KS 67878. Phone 620-272-3649; fax 620-384-7806. Hours run Monday through Friday, 8:00 a.m. to 4:00 p.m. An older county page lists a stale phone number. Trust the current 25th Judicial District contact instead. The clerk takes information and copy requests in person, by phone, in writing, or by fax. For mail, include a postage-prepaid addressed envelope, one per case when you request several. Local procedure gives the clerk three business days to respond. That period is subject to file location, access review, and certification work. The court-record request form also lets you choose email, mail, pickup, or fax for receiving copies.

Hamilton County Current Clerk Contact
The current Hamilton office page names the clerk and deputy clerk. It also lists the location, hours, phone, fax, payment link, and record-search route.

Check that current district page before a visit or mailed request. It resolves the phone conflict with the older county directory. Email links appear on the official page. Their machine-readable text is inconsistent, so use the live link rather than retyping an address. Hamilton publishes no drop-box procedure and no paid docket-search subscription. Kansas eFlex handles registered filing, not public searching. The Central Payment Center processes eligible payments rather than the full events index. Free CaseSearch detail and a certified copy serve different needs. The portal finds and tracks a public case. Certification is a clerk service tied to one document. Ask for the exact complaint, order, judgment, or docket pages. Confirm the fee before sending funds.
Hamilton County Docket Filing Snapshot
A small county still sees the full range of criminal and civil court work. For the year ending June 30, 2024, Hamilton reported 50 felony filings and 51 misdemeanor filings. The report row also lists 94 pending criminal matters. On the civil side, the report shows 50 filings. That total breaks down as 9 regular actions, 18 limited actions, and 23 domestic-relations filings.
These are dated workload measures, nothing more. They are not a live Hamilton County court docket. They describe no person, and they cannot predict a case's timing or outcome. The 94 pending figure includes appeals pending under the report footnote. Municipal cases do not necessarily appear in the same district rows.
The county's 2020 population was 2,518. Syracuse had 1,826 residents and Coolidge had 80. Population says nothing about whether a case exists or how busy a current docket is.
City-by-City Court Dockets in Hamilton County
Hamilton County contains two incorporated cities: Syracuse and Coolidge. Syracuse runs a municipal court at City Hall for ordinance and traffic matters. The city publishes that route. Coolidge offers no local court page or docket portal right now. That gap does not mean no municipal court exists there. Check your citation. Then ask the city or the Hamilton clerk which office holds the case.

Coolidge Court Records

No current official local portal found; verify the issuing court and city custodian.
Where a case lands depends on who charged you. A state district case from either city goes through Hamilton County District Court and its CaseSearch. A Syracuse ordinance citation belongs to the city instead. The Kansas Central Payment Center may show an eligible payment record, but that alone is not the full court docket, and it does not prove Coolidge has a municipal portal.
Map and Directions to the Hamilton County Courthouse
Hamilton County District Court criminal, civil, family, probate/mental-health, and district-traffic records are kept at the Hamilton County Courthouse, 219 N Main, in Syracuse. The building, completed in 1937, holds public-access computers in a room near the clerk's office, and visitors are asked to sign in before using one.

Jurors are told to report to the second floor by 9:00 a.m., bring photo identification, and leave cell phones, chemical sprays, firearms, and other weapons in the car; a general visitor should expect similar entry expectations. Pleadings left at the front counter after 3:00 p.m. may wait until the next business day for processing, so plan an earlier visit for a time-sensitive filing.
